Booking term and conditions
Dear guest,
Thank you for your interest in staying with us in our nature reserve. To make your stay as pleasant as possible, Valle Escondido requests your cooperation by reviewing our following policies. Guests must agree to these policies in order to book accommodations at Valle Escondido Nature Reserve Hotel & Farm. Guests will be solely responsible to Valle Escondido Nature Reserve Hotel & Farm for any financial loss or damage that may be caused as a result of their own negligence or failure to comply with these rules and instructions.
1. Acceptance of Terms and Conditions
By making a reservation, registering or using any service of Valle Escondido Nature Reserve Hotel & Farm (hereinafter referred to as "the Hotel"), you ("the User") agree to comply with and be bound by these General Terms and Conditions.
2. Rates and billing
The room rate includes breakfast, booking service for local area activities, and free access to the 4 km of trails of our on-site Nature Reserve. Additional services of meals, beverages, amenities, night walk, bird watching tour, natural history walk, permaculture, yoga and other services are at an additional cost.
All bills must be signed personally for services rendered. Balances are to be paid upon checkout.
The confirmation of accommodation and activities will show the final price of the reserved service, indirect taxes or any other tax that is applicable in our country for the provision of the service. All fees are displayed in US Dollars (USD).
At the time of making your reservation, you may indicate the data with which the invoice for the services must be issued. In support of the Hotel's environmental commitment, all billing and documentation related to the reservation will be issued in electronic format. In no case will paper documents be sent.
The Hotel reserves the right to modify rates without prior notice depending on demand, season or market conditions. This modification does not apply to reservations already confirmed, which will maintain the rate agreed at the time of booking for the dates of the stay.
3. Reservations, modifications, cancellations and payment
Accepted payment methods are MasterCard, Visa, American Express, Diners Club, Discover, JCB.
The User may request the modification or cancellation of their booking using the link included in the confirmation email, or by writing directly to reservations@valleescondidocr.com and indicating the confirmation number and full name associated with the booking.
These requests will only be processed if they are made outside the deadline that entails a penalty. Bookings made through third-party platforms must be managed directly on those platforms.
The modification, cancellation, and no-show conditions for the reservation will be those stated in the reservation process for the selected rate plan and expressly accepted by the User at the time of making the reservation.
In the event that a modification or cancellation incurs charges, these will be applied directly to the card provided as a guarantee during the purchase process. Modification shall be understood as:
- Change the check-in date.
- Shorten the reservation initially booked.
- Modify the number of rooms reserved.
Specific payment, modification and cancellation policies may vary depending on the season and date of stay. These conditions do not apply to bookings made with special rates or promotions, which will be governed by the particular clauses established for such rates.
High season
06 January - 30 April, 15 June - 25 August, 01 November - 14 December
Payment: The total amount of the reservation will be charged 60 days before the date of entry.
Modifications and cancellations:
- Cancellations received 60 days or before the check-in date, a charge of 100% of the total reservation plus VAT (13%) will be applied.
- Cancellation policy may apply for modifications received 60 days or prior to the date of entry.
Green season
01 May - 14 June, 26 August - 31 October
Payment: The total amount of the reservation will be charged 30 days before the date of entry.
Modifications and cancellations:
- Cancellations received 30 days or before the check-in date, a charge of 100% of the total reservation plus VAT (13%) will be applied.
- Cancellation policy may apply for modifications received 30 days or prior to the date of arrival.
Holiday season
15 December - 05 January
Payment: The total amount of the reservation will be charged 60 days before the date of entry.
Modifications and cancellations:
- Cancellations received 90 days or before the check-in date, a charge of 50% of the total reservation plus VAT (13%) will be applied.
- Cancellations received 60 days or before the check-in date, a charge of 100% of the total reservation plus VAT (13%) will be applied.
- Cancellation policy may apply for modifications received 60 and 90 days before the date of arrival.
4. No show and early departure
No-shows and early departures will result in the cancellation of the reservation and a charge for the full stay, plus VAT, with no refund.
5. Children's policy
Children aged 0 to 5 sharing the same room bedding stay free (maximum 2 per room). In terms of prices of accommodation and meals, persons who are over the age of 5 are considered adults. There might be a price difference for third party and/or onsite activities.
The Hotel reserves the right to request additional information that proves the identity of the minor and their relationship with the User, either during registration or check-in at the hotel reception or during the time of their stay.
This information may include but is not limited to: documentation proving the legal relationship between the user and the minor; original notarized permission signed by your parents or guardians; copy of the child's birth record; passport or identity card of the minor.
6. Check-in y Check-out
Check-in time is from 2 PM. For arrivals after 8:30 PM, advance notice is required.
When registering, the User must present a valid identification document (passport or identity card, depending on the guest's nationality). This data will be processed in accordance with the regulations of our Costa Rican legal system and under the principle of confidentiality. The document will be copied or scanned for registration purposes and returned immediately. The User accepts and consents to the Hotel making a photocopy or scanning of his/her identity document to complete the registration process. In addition, you will provide a guarantee of payment for your stay (credit card), fill out and sign with your personal data (such as your full name, email, telephone and address) the registration forms.
In accordance with the Law and Regulation on the Protection of the Person against the Processing of your Personal Data, Valle Escondido Nature Reserve Hotel & Farm will process your data to: (i) manage your reservation, check-in and check-out; (ii) provide the contracted services during their stay; (iii) billing and processing payments; (iv) comply with legal obligations (registration of guests with authorities); (v) ensure the security of the premises; and (vi) send promotional information only with your prior and express consent, as well as to comply with legal obligations.
Check-out time is 11 AM. Check out at the front desk if you wish to check out after this time. Late check-outs are available, subject to availability and may incur an additional charge of USD 30.00 per hour per room, until 2 PM. After that time, the total stay of one night plus applicable taxes will be charged.
For guests who wish to enjoy the hotel property or scheduled activities after check-out, the hotel offers free luggage storage service.
6. Cleaning service
Housekeeping is available from 7 AM to 3 PM. In case the guest does not require cleaning, they must inform the reception.
7. Restaurant
Our buffet style breakfast is complimentary and served from 6:30 AM to 9:00 AM. Farm to Table Escondido offers its regular menu from 11:30 AM to 8:30 PM, Happy Hour from 4 PM to 6 PM. Guests can charge consumption to the room by signing the bill, which will be settled at check-out.
In order to adequately address any dietary restrictions or preferences, the User must indicate this during the booking process or through the available communication channels (email, telephone, WhatsApp, etc.).
8. Access to the Nature Reserve
Access to the Nature Reserve's trails is free for guests and is allowed from 6 AM to 4:30 PM, including the 4 km of trails, viewing platforms, scenic waterfall views, organic vegetable gardens, and the organic farm's coffee plantation. For security reasons, access after 4:30 PM is not allowed.
Visitors are advised to wear appropriate footwear and bring water with them during their visit to the Nature Reserve. For safety, they must stay on the marked trails and follow the signage and trail map available at the front desk.
It is strictly forbidden to remove plants, flowers, fruits, insects or any natural element from the reserve.
It is forbidden to feed, chase or disturb wildlife in any way, and the use of drones or devices that threaten wildlife. Keep a safe and observant distance.
It is forbidden to leave waste on the trails. Use the designated waste separation bins in the common areas of the Hotel.
9. Pet policy
Pets are not allowed in the hotel facilities.
10. Rules of conduct and coexistence
The Hotel reserves the right to immediately terminate the stay of any guest, without the right to any refund, in the following cases:
- Intentional damage to property.
- Aggressive or threatening behavior toward staff or toward themselves or other guests.
- Serious violation of safety regulations.
- Carrying out any illegal activity within the premises.
Smoking in the rooms, balconies or terraces.
- Any behaviour contrary to good customs and public order.
- Negligence, misuse of the premises or breach of these terms and conditions.
The User will be solely responsible for any damage or financial loss caused to the Hotel, its facilities or equipment, or to third parties, as a result of the aforementioned causes.
In addition, for safety and respect for the rest of the guests, non-registered persons are not allowed to enter the rooms or use the hotel facilities without prior authorization from the reception.
11. Governing Law and Dispute Resolution
These Terms and Conditions shall be governed by and construed in accordance with the laws of the Republic of Costa Rica. Any dispute arising in connection therewith shall be submitted to the competent courts of Costa Rica.
12. Modifications to the General Terms and Conditions
The Hotel reserves the right to modify these Terms and Conditions at any time. The updated terms will be posted on our website and will be applicable for all bookings made after the date of publication.
